1. Booking Policy

 

Clients may book sessions up to six (6) months in advance. While scheduling at least one (1) month before the desired date is recommended to ensure availability and allow ample time for planning and preparation, shorter notice bookings may be accommodated when possible.

 

For headshot sessions, bookings may be accepted with at least two (2) weeks’ notice.

Exceptions may be granted at the discretion of Glee Visuals LLC based on availability and circumstances. Please inquire directly for short-notice requests.

 

All bookings begin by submitting a request through the Contact page on the Glee Visuals LLC website. After receiving your request, we will discuss session details, availability, and payment arrangements before finalizing your booking.

 

Bookings are confirmed and dates secured only after receipt of the required deposit. Once payment is received, a Google Calendar invite will be sent to confirm your session.

2. Retainer & Payment Policy

 

A 25% deposit is required at the time of booking to reserve your session date. The remaining balance is due no later than 24 hours before the scheduled session. Sessions are not considered confirmed until the deposit has been received. A new payment link will be provided for the remaining balance.

 

For mini photo sessions, full payment is required upfront to secure your spot.

 

Non-Payment:
If the remaining balance is not received at least 24 hours before the session, Glee Visuals LLC reserves the right to cancel or reschedule the session. In such cases, the initial deposit may be forfeited. Sessions will not proceed without full payment.

 

Payment Method:
Glee Visuals LLC accepts online payments only through the secure payment links provided via the website. Payment of the deposit is required to secure your booking, with the balance due at least 24 hours prior to the session. Sessions will not proceed without full payment. Failure to pay the remaining balance on time will result in cancellation or rescheduling (see Fees and Additional Charges) of the session, and deposits may be forfeited.

 

Refund Policy:
Deposits and payments are non-refundable, except in rare or extreme circumstances (such as severe illness or emergencies), evaluated on a case-by-case basis. If Glee Visuals LLC cancels a session and cannot reschedule, a full refund will be issued.

 

Deposits may be transferable to a future session at Glee Visuals LLC’s discretion.

 

3. Cancellation & Rescheduling Policy

 

Clients may reschedule their session once without penalty by providing at least 48 hours’ notice prior to the scheduled start time.

 

Requests to reschedule made less than 24 hours in advance may incur a rescheduling fee, determined on a case-by-case basis (see Fees and Additional Charges).

 

Clients who fail to provide at least 24 hours’ notice and do not reschedule will be considered a cancellation and will be subject to the no-refund policy.

 

Cancellations initiated by the client are not eligible for refunds. Payments are non-refundable unless the cancellation is initiated by Glee Visuals LLC or in rare, extreme circumstances (such as severe illness or emergencies), which will be evaluated on a case-by-case basis as outlined in the Refund Policy.

 

Additional reschedule requests beyond the first may incur fees or may be declined at the discretion of Glee Visuals LLC (see Fees and Additional Charges).

 

We understand that emergencies can happen and will handle such situations with flexibility and compassion whenever possible.

 

4. Late Arrival Policy

 

Clients are granted a 15-minute grace period from the scheduled start time. If a client arrives within this window, the session will proceed but will still end at the originally scheduled end time. No additional time will be added.

 

Clients arriving after 15 minutes without communication will be considered a no-show, and the session may be canceled without refund.

 

For 15-minute mini photo sessions, late arrivals may result in the session being forfeited entirely.

 

5. No-Show Policy

 

Clients who do not attend their session and fail to communicate will be considered no-shows. No-shows will not be refunded or rescheduled.

6. Mini Photo Session Policy

Mini photo sessions require full payment upfront and are non-refundable.

Clients who fail to arrive on time or do not show up for mini photo sessions will forfeit their session and payment, with no reschedule or refund provided.

7. Image Delivery & Editing Policy

 

Final edited images will be delivered within 2–4 weeks of the session, barring delays.

Clients will receive watermarked, low-resolution preview images (JPEG format) to select their final images. RAW files are not provided.

 

Requests for additional edits or extensive retouching beyond what is included in your session package will incur additional fees (see Fees and Additional Charges).

8. Client Usage Rights & Copyright

 

Glee Visuals LLC retains full copyright ownership of all images.

Clients are granted broad usage rights, including the ability to post, print, distribute, and use images for personal and commercial purposes. Clients may not claim authorship of the original work.

 

Clients may not sell images as standalone stock or transfer rights to third parties without written consent from Glee Visuals LLC.

 

If you intend to edit or alter images significantly, these changes must not misrepresent the original work or compromise the artistic integrity of Glee Visuals LLC.

9. Model Release

 

By booking with Glee Visuals LLC, clients grant the photographer the right to use images from their session for marketing and promotional purposes, including:

  • Portfolio display (digital or printed)

  • Social media platforms

  • Advertising materials

  • Website galleries
     

Images will not be used for third-party publications, stock photography, or sold to other entities.

Clients who do not wish to be featured in marketing materials must submit a written request at the time of booking. A privacy fee may apply and will be discussed in advance (see Fees and Additional Charges).

 

10. Digital File Storage & Re-Delivery Policy

 

Clients are responsible for downloading and securely backing up their final images upon initial delivery.

 

Glee Visuals LLC maintains copies of session files for internal and marketing purposes, but file availability beyond 30 days after delivery is not guaranteed.

 

Requests for re-sending files after the initial delivery will incur a re-delivery fee and are subject to file availability (see Fees and Additional Charges).

11. Creative Control

 

Clients acknowledge that Glee Visuals LLC retains artistic and professional discretion over the creative direction of each session, including:

  • Location, lighting, posing, and angles

  • Final image selection and editing style
     

Client feedback is always welcome. However, requests for style changes, re-shoots, or re-editing beyond what is included in the package will incur additional charges or may be declined.

12. Weather, Location & Safety Policy

 

Glee Visuals LLC reserves the right to reschedule any session due to weather conditions that impact safety or image quality. Sessions rescheduled due to weather do not count toward the client’s one-time reschedule allowance.

 

Session locations will be discussed and agreed upon in advance. If a location is deemed unsafe, unstable, or significantly different than discussed, Glee Visuals LLC may cancel or reschedule the session without refund.

13. Liability & Safety

 

Clients participate in sessions at their own risk. Glee Visuals LLC is not liable for any injury, loss, or damage sustained during a session, including weather-related incidents, loss of personal belongings, or physical injury.

 

Children and pets must be supervised by a responsible adult at all times.

To the fullest extent permitted by law, clients agree to waive any claims against Glee Visuals LLC arising from participation in a session.

14. Client Conduct & Session Behavior

Glee Visuals LLC strives to provide a professional and positive experience for all clients. Clients and their guests are expected to conduct themselves respectfully and cooperatively during sessions. Disruptive, abusive, or unsafe behavior may result in immediate termination of the session without refund. Glee Visuals LLC reserves the right to refuse service to anyone whose behavior compromises the safety or enjoyment of the session.

15. Right to Decline or Cancel Bookings

 

Glee Visuals LLC reserves the right to decline or cancel any booking at its sole discretion if the session or request:

  • Is unsafe or poses a risk to the photographer, client, or others

  • Involves unlawful activities or content

  • Conflicts with ethical standards or professional guidelines

  • Is otherwise deemed inappropriate or not aligned with Glee Visuals LLC’s policies
     

If a booking is declined or canceled for these reasons, the client will be promptly notified and any payments received will be fully refunded.

16. Public Health

 

Glee Visuals LLC follows all local and state public health guidelines. In the event of a public health emergency or outbreak:

  • Sessions may be rescheduled at no additional cost

  • Safety measures will be communicated in advance

  • Clients are expected to comply with all required health protocols; failure to do so may result in session cancellation without refund
     

17. Force Majeure

In force majeure cases, sessions will be rescheduled when possible. If rescheduling is not possible, clients may receive a refund at Glee Visuals LLC's discretion.

18. Dispute Resolution

 

Any disputes arising under these policies shall be governed by the laws of the state of Michigan. Clients agree to attempt mediation in good faith before pursuing legal remedies.

19. Fees and Additional Charges

At Glee Visuals LLC, we strive to provide transparent and fair pricing. The following fees may apply in addition to your session package costs, depending on circumstances:

Rescheduling Fees:

  • Clients may reschedule once without penalty with at least 48 hours' notice.

  • Rescheduling requests made less than 24 hours before the session may incur a fee of $25, subject to review based on the situation.

  • Additional reschedules beyond the first may also incur fees or be declined.

 

Late Arrival Fees:

  • Sessions will adhere strictly to the scheduled time. Clients arriving more than 15 minutes late without prior communication may forfeit their session, and no refund will be issued.

  • For 15-minute mini photo sessions, late arrivals may result in a forfeited session with no time extension or refund.

 

No-Show Policy:

  • Clients who do not show up for their session and fail to notify Glee Visuals LLC will forfeit all payments with no option for refund or rescheduling.

Privacy Fee (Model Release Opt-Out):

  • Clients who do not wish to have their images used for promotional purposes may request a privacy agreement.

  • A privacy fee starting at $50 may apply to cover the business impact of opting out of marketing use. The exact fee will be discussed at booking.

Image Re-Delivery Fee:

  • Clients are responsible for downloading and backing up their images upon delivery.

  • Requests to resend digital files after the initial delivery period will incur a $25 re-delivery fee and are subject to file availability.

Additional Editing Fees:

  • Standard editing and retouching are included in your session package.

  • Requests for extensive retouching, additional edits, or changes beyond what is included will be quoted on a case-by-case basis.

Additional Attendees & Guests:

  • Additional attendees beyond the agreed session participants—including family members, friends, or pets—require prior approval and may incur extra fees.

  • Clients are responsible for ensuring all guests follow safety guidelines and respect the session environment.

Travel Fee:

  • Sessions requested outside the greater Ann Arbor and Metro Detroit Areas may incur additional travel fees.

  • Any applicable fees will be discussed and agreed upon prior to booking.

Payment of Additional Fees:

All fees are payable prior to or at the time the related service or adjustment is provided. Glee Visuals LLC reserves the right to withhold final image delivery until all fees are paid in full.

20. Policy Acknowledgment

 

By booking a session with Glee Visuals LLC, the client affirms that they have read, understood, and agree to all terms outlined in this policy. Clients are encouraged to ask any questions prior to booking to ensure complete understanding. Booking a session constitutes acknowledgment and acceptance of these terms, even if a separate signature is not obtained.

1. Project Booking & Inquiry Policy


All design projects with Glee Visuals LLC must begin by submitting the official Design Request Form available on the Glee Visuals LLC website. This form gathers essential project details to initiate your booking.

 

After submission, you will be contacted to schedule a consultation (virtual or in-person) to confirm project scope, deliverables, timeline, and pricing.


Projects are scheduled based on availability. Booking at least two (2) weeks in advance is encouraged. Rush

projects may be accepted on a case-by-case basis and may incur additional fees (see Section 16: Fees and

Additional Charges).


Design work will not begin until:

  • The project scope and deliverables are confirmed

  • The required deposit has been received

  • Any applicable agreement or written confirmation is acknowledged by the client


2. Communication Policy


All official communication related to your project must be conducted via email. The email address you provide in your Design Request Form will be considered your primary point of contact for the duration of the project.

 

Clients are responsible for checking and responding to that designated email address regularly. If a client wishes to update their contact email, they must notify Glee Visuals LLC in writing.

 

To ensure professionalism, clarity, and accurate recordkeeping:

  • All feedback, approvals, and file deliveries will be handled exclusively via email.

  • Glee Visuals LLC does not conduct project communication, reviews, or file sharing through:

    • Text messages or SMS

    • Social media messaging (e.g., Instagram, Facebook, etc.)

    • Messaging apps (e.g., WhatsApp, Slack, etc.)

 

Requests or instructions made outside the approved email thread will not be considered binding or official.

 

Any delays or errors resulting from communication attempted outside the agreed channel will not be the responsibility of Glee Visuals LLC.

3. Retainer & Payment Policy


A non-refundable 50% deposit is required to secure your project start date. The remaining balance is due upon final approval and before delivery of completed files.

 

For multi-phase or extended projects, milestone-based payment schedules may be implemented. These will be discussed in advance and outlined in the client agreement or invoice.

 

Non-Payment:
If payments are not made according to the agreed-upon schedule, work may be paused or terminated. Final deliverables will be withheld until payment is made in full.


Accepted Payment Methods:
All payments must be made via the secure payment link provided by Glee Visuals LLC. Cash, check, or alternative methods are not accepted.


4. Refund Policy


All payments made to Glee Visuals LLC are non-refundable, including the 50% deposit. This policy reflects the time, preparation, and scheduling commitment required for design work.

 

In the rare case that a project is mutually terminated early, a partial refund may be considered at Glee Visuals LLC’s discretion, depending on the percentage of work completed.

 

Refunds will not be granted due to:

  • Client dissatisfaction after previously approved work

  • Change of mind or business direction after work begins

  • Client-caused project delays or non-responsiveness

  • Requests to cancel after services have been rendered

Any approved refund will be processed within 15 business days of written agreement.


5. Revisions & Approval Policy

Your selected design package includes a specified number of revision rounds (usually 1–3, depending on scope). Additional revisions outside the package limits will incur a fee (see Section 16).

 

To keep the project on schedule, clients are expected to provide feedback within 2–3 business days after each delivery. Projects delayed by lack of client response may be rescheduled or placed on hold.

 

Projects placed on hold for more than 30 days may be considered canceled, with all payments forfeited.
 

6. Scope of Work & Timeline Policy


All design services will be provided according to the scope defined at booking. Changes to scope, deliverables, or timeline after the project begins may require an updated quote or a new agreement.

 

Estimated timelines are dependent on timely feedback and approvals from the client. Delays on the client’s end may result in rescheduling or additional fees.


7. Client Responsibilities


Clients are expected to:

  • Provide all content, brand assets, and required information promptly

  • Ensure materials provided (text, logos, images) are owned or licensed by them

  • Respond to feedback requests in a timely manner

 

Failure to meet these responsibilities may delay the project or result in additional charges.


8. Ownership, Licensing & Source Files


Upon final payment, the client is granted non-exclusive usage rights for the final approved design, including for commercial use where applicable.

 

Glee Visuals LLC retains full ownership and copyright of all original design work, including unused concepts and working files (unless separately licensed).

 

Editable source files (e.g., .AI, .PSD, .INDD) are not included unless specified in the project scope and may incur a separate Source File Licensing Fee (see Section 16).

 

Designs may not be altered, resold, or redistributed without written permission.
 

9. Unused Concepts Policy


All unused concepts, drafts, and preliminary ideas remain the property of Glee Visuals LLC and may not be used, recreated, or repurposed by the client without written permission.


10. Portfolio & Promotional Use

 

Unless otherwise agreed upon in writing, Glee Visuals LLC retains the right to showcase completed projects for promotional purposes, including on the website, social media, printed portfolio, or case studies.

 

Clients wishing to opt out must inform Glee Visuals LLC at booking. A privacy fee may apply (see Section 16).
 

11. File Delivery & Storage


Final deliverables will be provided in commonly used formats (e.g., PNG, PDF, JPEG, or others as agreed). Clients are responsible for downloading and backing up their files.

 

Glee Visuals LLC stores final project files for up to 60 days from delivery. Retrieval requests after this window may incur a re-delivery fee, and file availability is not guaranteed.


12. Technology & Software Use


Final files will be delivered in standard, accessible formats. However, proprietary files dependent on specific software (e.g., Adobe CC, Canva Pro, or web platforms) may not be editable by the client unless they have appropriate access.


Fonts or assets used in final deliverables may require separate licensing. Glee Visuals LLC is not responsible for client usage violations if proper licensing is not maintained.


13. Post-Project Support Policy


Glee Visuals LLC provides up to 7 calendar days of complimentary post-project support for troubleshooting or minor updates. After that period, additional requests will be billed at the current hourly rate and scheduled based on availability.


14. Confidentiality & Non-Disclosure


Glee Visuals LLC agrees to treat all client materials and communications as confidential and will not share, disclose, or distribute them to third parties without written consent.

 

If a separate Non-Disclosure Agreement (NDA) is required, the client must provide it for review and signature prior to the project start.


15. Force Majeure


Glee Visuals LLC shall not be held responsible for delays or non-performance due to events beyond its control, such as illness, natural disasters, internet outages, or governmental actions.

 

If rescheduling is not feasible due to such events, refunds may be issued at Glee Visuals LLC’s discretion.
 

16. Fees and Additional Charges


Additional charges may apply depending on the project and circumstances:

  • Rush Project Fee

  • Additional Revisions

  • File Re-Delivery Fee (after 60 days): $25

  • Late Payment Fee: 5% of balance per week overdue

All additional fees must be paid in full before continued work or final delivery.
 

17. Dispute Resolution


This agreement shall be governed by the laws of the State of Michigan. In the event of a dispute, both parties agree to seek resolution through good-faith mediation before pursuing formal legal action.

 

Any legal proceedings will be filed in the appropriate court jurisdiction within the state of Michigan.
 

18. Policy Acknowledgment


By submitting a design request and proceeding with a project through Glee Visuals LLC, the client confirms they have read, understood, and agreed to all terms in this policy.


Submission of the Design Request Form, payment of any deposit, or continued engagement in the project process constitutes full acceptance of these terms—even if a separate signature is not collected.
